Student Services Administrator

Summary Description:
The Student Services Administrator at John Carroll Catholic High School serves as a central leader in supporting the academic, social-emotional, behavioral, and post-graduation development of students. This position works collaboratively with school leadership, faculty, families, and external partners to ensure students are supported holistically and positioned for success during high school and beyond. Grounded in the Catholic mission of the school, the Student Services Administrator promotes student formation, accountability, and well-being while maintaining high professional and ethical standards.
Essential Functions:
Academic Support & Student Success
Monitor and support student academic progress in collaboration with teachers, department chairs, and administrators.
Coordinate academic intervention plans for students experiencing academic difficulty, including progress monitoring and follow-up.
Assist students and families in understanding graduation requirements, academic pathways, and course planning.
Maintain accurate academic records and documentation related to student support plans and interventions.
Collaborate with administration on academic policies, student eligibility, and support structures.
Social, Emotional, & Behavioral Support
Support students in navigating social, emotional, and behavioral challenges within a school-based framework.
Collaborate with administration, teachers, and families to address behavioral concerns and develop appropriate support strategies.
Participate in student support meetings, case reviews, and response planning for students of concern.
Serve as a point of coordination with external professionals or agencies when appropriate and approved by school leadership.
Promote a school culture that reflects dignity, respect, accountability, and care for the whole person.
Post-Graduation Planning & Guidance
Guide students through post-graduation planning, including college, career, military, and vocational pathways.
Coordinate standardized testing logistics and post-secondary application processes as assigned.
Support students and families with timelines, documentation, and planning related to post-secondary options.
Maintain relationships with colleges, universities, and post-secondary partners as appropriate.
Ensure accurate record-keeping and reporting related to post-graduation outcomes.
Collaboration & Communication
Serve as a liaison between students, families, faculty, and administration regarding student support matters.
Communicate clearly and professionally with parents and guardians regarding student progress and support plans.
Collaborate with faculty to ensure consistency in expectations, interventions, and follow-through.
Participate in leadership meetings, student services meetings, and professional development as required.
Additional Responsibilities:
Maintain confidentiality and discretion in all student and family matters in compliance with school, diocesan, and legal guidelines.
Support school initiatives related to student well-being, safety, and formation.
Assist with documentation and reporting required for accreditation or diocesan review.
Contribute to the ongoing development of student support systems and procedures.
Perform other duties as assigned by the Principal.
Work Environment:
School setting with frequent student, parent, and faculty interaction.
Requires regular sitting, standing, walking, and movement throughout campus.
Emotionally demanding work requiring professionalism, discretion, and calm presence.
Fast-paced environment requiring flexibility, organization, and sound judgment.
